Zoom offboarding checklist

Zoom accounts often hold things other people rely on: recurring meetings, cloud recordings and webinar links shared with customers. Move those first, then remove the user. User management is in the Zoom web portal under User Management. Zoom changes its menus from time to time, so check its help center if a step looks different.

Before you remove them

  • List their recurring meetings and webinars, and decide who will host them.
  • Move their upcoming meetings and webinars to a teammate. Zoom lets admins transfer these when deleting a user.
  • Download or transfer cloud recordings you need to keep.
  • Update any meeting links published on your website, emails or booking pages.

Remove access

  • Deactivate or delete the user from User Management.
  • If they were the account owner or an admin, give that role to someone else first.
  • Free up or reassign their paid license so you stop paying for it.
  • Sign them out of Zoom Rooms or shared devices they used.

Record

  • Record what was moved, removed and when.

Questions

Should I deactivate or delete a Zoom user?

Deactivating blocks sign-in and keeps their data, which is useful while you move meetings and recordings. Delete once everything they own has been transferred.

What happens to their cloud recordings?

Recordings can be lost if you delete the user without transferring them. Transfer or download recordings first.
