Employee onboarding checklist for small businesses

Good onboarding gets a new person working on day one. It also does a second job most small businesses miss: it records everything they were given. That list is what you’ll need on the day they leave.

Track it in Handover

Before day one

  • Decide what this role gets: which apps, shared logins, devices, keys and cards.
  • Create their work email and the app accounts they need.
  • Prepare their laptop or phone and note the serial numbers.
  • Send first-day details: start time, where to go, who to ask for, what to bring.
  • Add them to payroll with their tax forms.

On day one

  • Hand over devices, keys and badges, and record what was handed over.
  • Have them sign in and turn on two-step verification.
  • Share any shared logins through a password manager, not on paper or by text.
  • Walk them through who to ask for what.

In the first week

  • Check they can get into everything they need.
  • Remove anything they were given but don’t need.
  • Save the record of what they have, with dates.

Questions

What should I record when someone starts?

Every account you create, every shared password you tell them, and every device, key, badge and card you hand over, with dates and serial numbers. It’s the list you’ll work through when they leave.

Should every new hire get the same accounts?

No. Give each role only what it needs. Fewer accounts means less to remove later and less exposure if a password leaks.
