HubSpot offboarding checklist

In HubSpot, a person who leaves usually owns contacts, companies, deals and tickets. If you remove them without reassigning, those records show a removed owner and can drop out of reports and workflows. Only Super Admins can deactivate and remove users.

Reassign their work

  • Reassign their contacts, companies, deals and tickets to a teammate.
  • Reassign open conversations in the inbox.
  • Check workflows, sequences and round-robin rotations that use them as owner.
  • Replace their scheduling (meetings) link anywhere it is published; it is deleted when the user is removed.

Remove access

  • Deactivate the user first. This blocks sign-in and frees the seat while keeping their history for reports.
  • Remove the user once everything is reassigned. Removal can’t be undone.
  • Disconnect their personal email and calendar connections if they are still linked.

Record

  • Record who now owns their records, and when access was removed.

Questions

What is the difference between deactivating and removing a HubSpot user?

Deactivating blocks access but keeps the user for reporting and can be reversed. Removing deletes the user from the account and can’t be undone, so deactivate first and remove once their work is reassigned.

Who can remove users in HubSpot?

Users with Super Admin permissions. HubSpot support can’t do it for you.
