Dropbox offboarding checklist

Dropbox team admins can suspend, delete or convert a member’s account. When you delete a member you can transfer their files to someone else and choose to remove Dropbox content from their devices the next time they come online.

Track it in Handover

Remove access

  • Suspend the member if you need time to sort out their files.
  • Delete the member from the admin console. Admins can’t delete their own account, so another admin has to do it.
  • Choose to transfer their files to a teammate, now or later.
  • Choose to delete Dropbox content from their linked devices, especially personal phones and laptops.

Shared links and folders

  • Check shared links they created that customers or partners still use.
  • Make sure shared team folders they managed have another owner.

Record

  • Record who received their files and when access was removed.

Questions

Can I get a former employee’s Dropbox files?

Yes. When you delete a member, Dropbox lets you transfer their files to another team member, either right away or later.

Should I convert them to a personal account?

Usually not. Converting lets them keep the files in their own Basic account, which is rarely what a business wants when someone leaves.
