New hire IT setup checklist for small businesses

A new hire who spends their first morning waiting for a login is a slow start for everyone. Set up the technical side before day one and write down everything you hand over as you go.

Track it in Handover

A week before

  • Decide what the role needs: which apps, shared logins, devices and keys.
  • Order or prepare their laptop or phone and note the serial number.
  • Create their work email account.

A day or two before

  • Create the app accounts their role needs, with the lowest access that works.
  • Add them to the right groups, channels and shared folders.
  • Install updates and security software on their device.
  • Prepare a sheet with their first sign-in details, kept out of email.

On day one

  • Have them change temporary passwords and turn on two-step verification.
  • Share any shared logins through a password manager.
  • Show them how to report a lost device or a suspicious email.
  • Record everything you gave them, with dates.

Questions

Should new hires get admin access?

Only if the job needs it. Admin access is the hardest to take back cleanly and the most dangerous if a password leaks.

Why record what you hand out?

Because that list becomes the offboarding checklist when they leave. Without it, you are guessing.
